Terms and Conditions

1. Introduction

These Terms and Conditions govern the relationship between Gold Adventure (“Gold Adventure,” “we,” “our,” or “us”) and the individual or entity (“Client,” “participant,” or “you”) booking a trip, tour, or travel experience with us. This agreement outlines the expectations, responsibilities, and legal commitments of both parties.

Gold Adventure operates alongside a network of partners, affiliates, service providers, employees, trip leads, volunteers, and local operators to offer curated travel and trekking experiences globally. By making a booking with us, you agree to be bound by these Terms and Conditions.

2. Use of Personal Information

We collect and use personal information (including but not limited to your name, email, phone number, passport details, dietary or health requirements) solely for the purpose of trip planning and coordination. We take data privacy seriously and will never sell or misuse your personal information. Some of this data may be shared with our trusted local partners strictly for operational purposes (e.g., hotel bookings, permits).


3. Booking and Payment Process

(a) Deposit

A deposit is required to confirm your booking, and the amount will be specified on each trip page. Deposits are typically due at least 120 days prior to the trip start date. Your reservation is not secured until the deposit is received.

(b) Final Payment

The remaining balance is due 90 days prior to the trip start date. Late payments may result in the cancellation of your booking.

Note: Any transaction or transfer fees incurred during payment will be borne by the Client.


4. Trip Cost:

  • Trip pricing is based on minimum group participation. If the minimum number of participants is not met, the cost may increase. We strive to avoid this and will notify you promptly if adjustments are necessary.
  • All trip costs are based on twin sharing accommodation.
  • Single supplements may be available upon request at an additional charge, talk with Gold Adventure rep.
  • Any extra costs incurred during the trip (e.g., personal expenses, optional activities, unscheduled transportation, food/beverages not included in the itinerary) must be paid by the Client.

5. Changes to Trip Plans

While every effort is made to follow the published itinerary, circumstances such as weather, natural disasters, political unrest, flight delays, illness, or safety concerns may require changes. Gold Adventure reserves the right to amend the itinerary as needed in the best interest of the group. Such changes may result in additional costs, which the Client is responsible for.


6. Cancellation & Refund Policy

For Local (Domestic) Trips:

  • Cancellations 90 days or more before trip start: Full refund.
  • Within 90 days: No refund unless a replacement is found.

For International Trips:

  • 90–60 days before: 75% refund (minus non-refundable costs*).
  • 59–30 days before: 50% refund (minus non-refundable costs*).
  • 29–15 days before: 25% refund (minus non-refundable costs*).
  • 14 days or less: No refund.

*Any non-recoverable costs already paid (e.g., permits, flights, accommodation, local services) will be deducted.

Important:

  • If a client must withdraw from a trip due to health issues, injury, or personal emergency, no refunds will be provided unless a replacement is found.
  • If the Client is unable to enter a destination country due to visa issues, denied entry, travel restrictions, or personal choice, no refunds or rescheduling will be offered.
  • Trip disruption, early departure, or incomplete participation do not qualify for a refund.
  • We strongly recommend purchasing comprehensive travel insurance that includes trip cancellation, medical evacuation, and travel delays.

7. Vaccinations & your Health

Clients are responsible for ensuring they are physically fit and meet all health, vaccination, and entry requirements for the destination country. Consult your doctor for recommended vaccines and confirm regulations with the appropriate embassy or government website.

Some treks involve high altitude and strenuous physical activity. Please discuss any medical conditions with us during registration.


8. Contingency Days

Some itineraries include contingency days to account for weather, altitude, or logistical delays, but not all do. Please review the specific trip plan carefully. We encourage you to leave room in your travel schedule for possible delays or extensions.


9. Luggage During Trek

Main luggage can be stored securely at the hotel or designated storage location while on the trek. Daypacks and trekking essentials will be carried during the hike, with porters or yaks available for supported treks. Please follow luggage weight guidelines provided.


10. Travel Insurance

Travel insurance is mandatory for international trips. Your policy should include coverage for:

  • Trip cancellation and interruption
  • Emergency medical expenses
  • Evacuation and repatriation
  • Lost or delayed baggage
  • Altitude-related illness (if applicable)

Proof of insurance must be submitted before departure.


12. Release from Liability & Assumption of Risk

Participation in any Gold Adventure trip involves inherent risks, including but not limited to natural hazards, altitude sickness, unpredictable weather, injury, accidents, transportation delays, and wildlife encounters.

By booking a trip, you acknowledge these risks and agree to release Gold Adventure, its owners, employees, partners, guides, and service providers from any liability for loss, injury, damage, or death that may occur during the trip.

All participants must sign a Waiver and Acknowledgment of Risk Form prior to departure.


13. Governing Law

This agreement is governed by and construed in accordance with the laws of the local jurisdiction. Any disputes shall be settled in the courts of said jurisdiction. Gold Adventure is not responsible for any legal cost and dispute resolution.


14. Client Agreement

By making a booking with Gold Adventure, you confirm that:

  • You have read and understood these Terms and Conditions.
  • You accept all associated risks.
  • You agree to follow instructions provided by guides and trip leads.
  • You will complete all necessary documentation before departure.
